The platform

What is Bitrix24?

Bitrix24 is an online workspace used by companies to run customer-facing and internal work in one place. Instead of a CRM here, a chat tool there and a task board somewhere else, the platform bundles a CRM (contacts, companies, leads, deals and pipelines) with tasks and projects, internal chat and video calls, telephony and email, a website and form builder, automation rules, document and e-signature tools, analytics, and AI assistance — with availability depending on the plan you choose.

It is offered as a cloud service with flat pricing per organization inside each plan's user limit, and as an on-premise edition for organizations with specific data residency or customization requirements. Bitrix24 also publishes a REST API and a marketplace of apps, so it can be extended or connected to other systems you already run.

To be precise about the relationship: Bitrix24 is not our software. It is a business platform that RaysanDev helps businesses implement, configure and integrate.

Abstract illustration of a CRM sales pipeline with chat, phone and email channels feeding a single customer record

The problem

Sales is happening — but nobody can see it

  • Leads arrive from the website, Instagram and WhatsApp and land in different places.
  • Forecasts are assembled from what each salesperson remembers.
  • Follow-up depends on individual discipline, so warm leads go cold.
  • Managers only learn a deal is lost after it is lost.
  • Five subscriptions cover chat, tasks, forms, calls and reporting — none of them talk to each other.

How we solve it

One record per customer, one pipeline per business line

We map your real sales stages — not a textbook funnel — then build them in Bitrix24 with required fields kept to a minimum and automation doing the administrative work: assigning owners, creating follow-up tasks, sending reminders and updating stages.

Every channel feeds the same record. Web forms, calls and WhatsApp conversations create or update leads, so the pipeline reflects what is genuinely happening rather than what somebody remembered to type in. If you are still deciding whether a CRM is the right next step, our guide to CRM for Saudi businesses is a good place to start.

WhatsApp

Bitrix24 and WhatsApp

Most Saudi buyers open a conversation on WhatsApp, not a contact form. Bitrix24's contact center is built for that pattern: messaging channels arrive in the same interface as calls and email, conversations can create or update a CRM record, chats can be assigned and re-assigned, and the history stays attached to the customer rather than to an individual phone.

Be careful about what is native and what is not. Bitrix24 lists WhatsApp marketing from the Standard plan, but connecting a WhatsApp Business number in practice involves an approved WhatsApp Business API provider, and some capabilities are delivered through Bitrix24 Market apps rather than out of the box. We verify the exact combination for your case before promising a workflow.

For the broader design pattern, see connecting WhatsApp to your CRM or our WhatsApp automation service.

Automation

Bitrix24 and sales automation

Automation in Bitrix24 is rule-based and lives inside the CRM: when a lead arrives it can be assigned by product, region or round robin; when a deal enters a stage a task, reminder or notification can be created; when nothing happens for a set period the record can escalate to a manager. Higher plans extend this to workflow automation across departments, task automation and RPA.

The value is not the rules themselves — it is the administrative work that stops being manual. Salespeople keep selling, managers stop chasing updates, and the pipeline stays honest because the system, not a person, records what happened.

We go deeper into designing these rules in CRM automation for Saudi businesses, and pair Bitrix24 with wider AI and business automation where the process reaches beyond sales.

Consolidation

One platform instead of several tools

Many companies end up paying for a CRM, a chat tool, a task board, a form builder, a calling solution and a reporting add-on separately. Bitrix24's proposition is that CRM, tasks, communication, collaboration, automation and analytics sit in one platform with one login, one permission model and one set of customer records. Bitrix24 makes strong value comparisons on its own website; we prefer to state the structural point rather than repeat marketing claims as fact.

Consolidation is not automatically the right answer. If your team already depends on a specialist tool that Bitrix24 covers only partially, the honest outcome may be a hybrid: Bitrix24 as the customer system of record, integrated with what you keep. If your question is really about back-office operations rather than selling, read CRM vs ERP first.

Who it's for

Where Bitrix24 works well in Saudi Arabia

Patterns we see most often across Riyadh, Jeddah and the Eastern Province.

Sales teams outgrowing spreadsheets

Companies past three or four salespeople where coordination by memory and shared files has started to leak deals.

Businesses whose leads arrive on WhatsApp

Retail, services and B2B teams where the first message is a chat and the record needs to exist before anyone forgets.

Service and professional firms

Consultancies, agencies and contractors managing proposals, follow-up and delivery handover in one place.

Education and training providers

Academies and training centers running enrollment pipelines where every enquiry needs structured follow-up.

Multi-pipeline organizations

Real estate, distribution and B2B companies that sell different products through genuinely different processes.

Growing companies standardizing on process

Teams that want new hires to inherit a defined way of selling instead of a personal system.

What RaysanDev does

Bitrix24 implementation and support

Bitrix24 can be set up without a partner. We exist for the part that decides whether it gets used: making the configuration match how your business actually works.

  • Requirements analysis

We shadow the current process, channels, roles and reporting expectations before touching the system.

  • CRM structure

Entity model, pipelines, stages, fields and required data kept to the minimum people will actually maintain.

  • Permissions and roles

Access rules per role, team and branch so managers see what they need and nobody sees what they shouldn't.

  • Data migration

Cleaning, de-duplicating and importing contacts, companies and open deals from spreadsheets or a legacy CRM.

  • Automation

Assignment, follow-up tasks, stage rules, reminders, escalations and notifications built around your process.

  • Integrations

WhatsApp workflows, telephony, website forms, email and other business systems via REST API, webhooks or Market apps.

  • Dashboards and reporting

Pipeline health, conversion by stage, activity levels and rep performance in views each role will actually open.

  • Training and adoption

Role-based sessions in Arabic or English using your own data, plus a usage review after a few weeks.

  • Ongoing support

Optimization as the process changes: new pipelines, extra automation, tidying fields nobody uses.

Implementation approach

How an implementation runs

A typical engagement, compressed or extended depending on data volume and the number of pipelines.

  1. 01

    Discovery

Goals, users, channels, reporting needs and the plan that fits them.

  2. 02

    Process mapping

Your real sales and service stages, documented and agreed before configuration.

  3. 03

    CRM configuration

Pipelines, fields, stages, permissions and account structure built out.

  4. 04

    Data preparation

Cleaning and de-duplicating records so migration improves the data, not the mess.

  5. 05

    Integrations

WhatsApp, telephony, forms, email and any other systems connected and tested.

  6. 06

    Automation

Assignment, tasks, reminders and escalation rules implemented and reviewed with you.

  7. 07

    Testing

Real scenarios run end to end with your team before anything goes live.

  8. 08

    Training

Separate sessions for reps, managers and administrators.

  9. 09

    Go-live

Cutover with support on hand for the first working days.

  10. 10

    Optimization

Usage review, simplification and new automation once habits are visible.

Already have Bitrix24 but nobody uses it?

We regularly rescue half-configured accounts — cleaning up pipelines, cutting unused fields and rebuilding automation so the system helps instead of nagging. Budget planning is covered in our CRM implementation cost guide.

Business benefits

When Bitrix24 tends to be a good fit

You want breadth, not one tool

CRM plus tasks, communication and automation in a single platform, rather than a specialist CRM alone.

Headcount is growing

Flat pricing per organization means adding users inside a plan's limit does not change the invoice.

Process discipline is the goal

Automation rules and stage requirements make a defined sales process the default, not an aspiration.

You need an extensible platform

REST API, webhooks and Market apps leave room for integrations you have not thought of yet.

Sales and delivery must share context

Post-sale tasks and projects live next to the deal that created them.

It may not fit if…

A specialist tool covers a critical workflow far better, or your real problem is operations and inventory rather than selling.

Integrations

Bitrix24 connected to the tools around it

Typical connections in a Saudi implementation. Some are native, others use the Bitrix24 Market or the REST API — we confirm which before scoping.

  • WhatsApp Business API through an approved provider
  • Telephony, PBX and call-center platforms
  • Website forms and landing pages
  • Odoo ERP for orders, invoices and stock
  • Email, calendars and document storage
  • Payment and quotation tools
  • LMS platforms for education enrollment
  • Custom systems via REST API and webhooks
